Terms of Service & Privacy Policy

Last updated: October 22, 2026

1. Who we are

This website, including the Sona live demo (together, the “Website”), is operated by SolveMD Maciej Michalak, with its registered office at Napoleońska 1, 99-400 Łowicz, Poland (“SolveMD”, “we”, “us”).

We are the controller of the personal data described in this document within the meaning of Regulation (EU) 2016/679 (the General Data Protection Regulation, “GDPR”). You can reach us about anything in these terms at kontakt@solve.md.

2. Accepting these terms

By using the Website, you agree to these Terms of Service and acknowledge that your data is processed as described in this Privacy Policy. If you do not agree, please do not use the Website.

The Website is intended for people aged 16 or over. If you are younger, please do not use the demo or the contact form.

Where we rely on your consent, such as for analytics cookies or the contact form, we ask for it separately and you can withdraw it at any time. Using the Website does not by itself count as that consent.

3. The live demo

The live demo shows how Sona guides people through a form as a conversation. Sona is an AI system: its replies and its voice are generated by AI, not by a person. When you use it:

  • What you type or say is sent to our servers and to an AI language model provided by Google (Gemini), which generates Sona’s replies and fills in the sample form.
  • If you use your voice, the audio is sent to ElevenLabs to be transcribed, and Sona’s spoken replies are generated by ElevenLabs.
  • We do not save your answers. We use them only to run the conversation while it is open and do not store them in a database afterwards. Our servers may keep short technical logs, such as errors, to keep the service working. Google and ElevenLabs process your answers under their own terms, which allow them to keep them for a limited time, for example to detect abuse or improve their services.
  • We use your IP address to limit how often the demo can be used, to prevent abuse.

The demo uses fictional sample forms. Please do not enter real personal, health or financial information, or any other special categories of personal data (Article 9 GDPR). If you do, it is still sent to the providers listed in section 6.

You keep any rights you have in what you type or say. You allow us to process it only to run the demo for you. Sona’s replies and the filled-in form are sample output: they are generated automatically, may be inaccurate, and are not medical, legal or any other professional advice.

Legal basis: our legitimate interest in presenting our product and protecting the service from abuse (Article 6(1)(f) GDPR).

4. The contact form

When you send us a message through the contact form, we process the details you provide: your name, email address, phone number (optional), subject and message. We use them only to reply to your enquiry through the channels you gave us. Please do not include health information or other sensitive data in your message.

  • Legal basis: your consent, given by ticking the box in the form (Article 6(1)(a) GDPR). You can withdraw it at any time by emailing us. Withdrawing does not affect processing that took place before.
  • Messages are delivered to us by email through Web3Forms.
  • To block spam, the form uses hCaptcha (Intuition Machines, Inc.), which may collect your IP address, browser and device information, and how you interact with the page. This is based on our legitimate interest in keeping the form secure (Article 6(1)(f) GDPR). hCaptcha’s own privacy policy and terms apply to its use.

5. Analytics and cookies

With your permission, we use Mixpanel to understand how the Website is used. Mixpanel is only started once you click “Accept” in the cookie banner. Until then, nothing is stored and nothing is sent.

Once you accept, we record:

  • Your visits: each page you open, along with the page you came from, your browser, operating system, device type, screen size and approximate location (city and country) derived from your IP address.
  • Your activity in the demo: which sample form you choose, each step of it you complete, and whether you answered by typing or by voice.
  • Your activity in the contact form: when you start filling it in, whether it was sent successfully and, if not, which fields needed correcting.

We never record what you type or say in the demo or the contact form, only that these steps took place.

  • To recognise repeat visits, Mixpanel stores a random identifier in your browser’s local storage.
  • We also store your cookie choice in your browser so we do not ask again on every visit. This is necessary for the Website to respect your choice.
  • Legal basis: your consent (Article 6(1)(a) GDPR). You can change your choice at any time. Withdrawing deletes the data Mixpanel stored in your browser.

6. Service providers and transfers

We share data only with providers that help us run the Website, and only to the extent they need it:

  • Cloud hosting providers that run our servers;
  • Google, for the AI model behind the demo;
  • ElevenLabs, for speech recognition and voice in the demo;
  • Web3Forms, for delivering contact form messages;
  • Intuition Machines (hCaptcha), for spam protection;
  • Mixpanel, for analytics, if you consent.

Some of these providers are based in, or process data in, the United States or other countries outside the European Economic Area. Where this happens, the transfer is protected by an adequacy decision (such as the EU–US Data Privacy Framework) or by the European Commission’s Standard Contractual Clauses. You can ask us for more information about these safeguards.

We do not sell your personal data.

7. How long we keep data

  • Demo conversations: on our servers, only for as long as the conversation is open. Google and ElevenLabs keep them for the periods set in their own terms.
  • Contact form messages: for as long as needed to handle your enquiry and any follow-up, or until you withdraw your consent. A copy of each submission is also kept by Web3Forms for the retention period set in our Web3Forms account settings.
  • Analytics data: for as long as Mixpanel keeps it under our account settings, or until you withdraw consent and ask us to delete it.

8. Your rights

Under the GDPR, you have the right to:

  • access the personal data we hold about you;
  • have inaccurate data corrected;
  • have your data deleted;
  • restrict how we process your data;
  • receive your data in a portable format;
  • object to processing based on our legitimate interests;
  • withdraw your consent at any time.

To use any of these rights, email us at kontakt@solve.md. You also have the right to lodge a complaint with the President of the Personal Data Protection Office (Prezes Urzędu Ochrony Danych Osobowych), ul. Stawki 2, 00-193 Warsaw, Poland.

9. Acceptable use

When using the Website, you agree not to:

  • use it for anything unlawful, or to submit content that is unlawful, offensive or infringes the rights of others;
  • try to disrupt, overload or gain unauthorised access to the Website or the systems behind it;
  • use automated tools to access the demo or to extract its content, or try to get around its usage limits;
  • try to make the demo produce harmful or misleading content;
  • use your microphone to record other people without their consent.

We may limit or block access to the Website if these terms are broken.

10. Intellectual property

The Website, including its design, text, graphics, logos and software, is owned by SolveMD or its licensors and is protected by copyright and other intellectual property laws. You may view it for your own information, but you may not copy, modify or distribute it without our written permission.

If you send us feedback or suggestions, we may use them to improve our products without owing you anything for them.

11. Disclaimer and liability

The Website and the demo are provided for information and demonstration purposes “as is”, without any guarantee that they will be available, error-free or suitable for a particular purpose. We may change, pause or stop the demo at any time.

The Website links to third-party websites and services, which we do not control. Their own terms apply, and we are not responsible for them.

To the extent permitted by law, SolveMD is not liable for any loss resulting from using the Website or relying on the demo’s output. Nothing in these terms limits our liability for harm caused intentionally or through gross negligence, for death or personal injury, or any other liability that cannot be limited by law, and nothing affects your rights as a consumer.

12. Changes and governing law

We may update these terms from time to time, for example when we change how the Website works or which providers we use. The date at the top shows when they were last updated. Significant changes will be highlighted on the Website. Changes apply only to your use of the Website after they are published.

These terms are governed by Polish law. Disputes will be heard by the competent courts in Poland, without prejudice to any mandatory consumer protection rules of the country you live in. If you are a consumer, you may also bring proceedings in the courts of the country where you live.

If any part of these terms is found to be invalid, the rest remains in effect.
